Accessing and Responding to Quote Requests

Introduction
The Property Management companies you work with can send you a request for an estimate or quote. You will receive this by email as usual but when you have a Blockworx Account and you are linked with the property management company, you will also be able to see and respond to this in the Blockworx Web Portal or App.
This article will guide you through the process of viewing a quote request and submitting your quote on both the Blockworx web portal and also in the App.
Please note that you will only be able to receive quote requests from property management companies that you are already linked with in Blockworx. You can access the

You will also need to have signed up to a Blockworx Subscription.
This article will guide you through how to do this.
Accessing your Quote Requests on the Web Portal and App
You can access your quote requests on both the web portal and the app.
- In the web, click on the Quote Requests tab in your Blockworx header bar at the top of the screen.
- In the app, from the Home screen, tap on the Quote Requests link.
- In both cases you will be taken to a screen displaying a list of quote requests which have been sent to you from the property management companies you are linked to.
- Any recent requests will appear towards the top of the screen.
- Any which have not been viewed will appear in bold text.
- Your Notification Settings will control whether you receive an email and/or in app alert when you receive a new quote request.
Opening an Individual Quote Request on the Web Portal and App
Select the individual quote request in the list on either the web portal or the app and you will be able to see the details for it.
On the web portal, you can also open a new quote request directly from the Quote Requests section on the Dashboard.
You will see a summary of the details for the individual quote request.

- In the web portal and the app, there is an option to see the full details if these are not visible in the summary screen.
- In the web, click on the Download Quote Request Instructions button to see the full details.
- In the app tap on the View Quote Request button available from within an individual quote request.
- In both cases this will allow you to download the quote request as a PDF file which can be opened to be viewed. However, unless there is a lengthy Details description provided by the property management company, all relevant details will be available on the main screen.
Submitting a Quote on the Web Portal
When you are ready to submit your quote in response to the quote request you have two options on the web portal:
- You can either upload your own quote document.
- Or, you can generate a quote from Blockworx itself.
Uploading Your Own Quotation Document on the Web Portal
When you are ready to submit your quote in response to an quote request you have received there are two options. You can either upload your own quote document or you can create a quote directly from Blockworx itself.
To upload your own quotation document, follow the steps below:
- Inside an individual quote request, scroll down to the Your Quote Details section at the bottom of the screen.
- Click on the Attach your Quote File orange button. The screen will change and provide you with a shaded area.
- You can choose to drag a file from your computer onto this area or you can click on the shaded area to browse for a file on your computer and upload this.
- Once you have done this, your file will appear in the shaded area.
- You will now need to enter the appropriate information into the boxes below:
- Type in the Total Goods amount and then hover over the Total VAT amount and select the appropriate rate. Blockworx will calculate the Total VAT and the Quote Total amounts for you.
- Add information about the duration for the work in the Days, Hours and Minutes boxes.
- If you are ready to submit your quote, click on the orange Save and Submit button and your quote will be sent through to the property management company. If you are not ready to send it, you can click on the green Save for later button and return to submit this later.
You can always return to your quote request later to check what you have submitted at any point.
Your quote is now submitted to the property management company and they will get back to you by email to let you know if you have been successful.
Creating a Quotation Document through Blockworx on the Web Portal
Alternatively, you can choose to have Blockworx generate a quote with information you provide.
To do this follow the steps below:
- Inside an individual quote request, scroll down to the Your Quote Details section at the bottom of the screen.
- Click on the orange Create Your Quote button.
The Your Quote Details section will expand to display the boxes you need to add the relevant information to.
- Add a Description for an item within your quote by typing it into the box.
- Type in the Goods amount for the item and then hover over the VAT amount and select the appropriate rate.
If you have additional line items you need to add to your quotation, then you can click on the orange Add New Item button and repeat the process above.
If you change your mind and decide to delete a line item, you can do this by clicking on the red delete button at the right of the line.
- Based on the amounts you have added against your line items, Blockworx will automatically calculate the Total Goods, Total VAT and Quote Total in the section below.
- You don't need to add detail into the duration fields at the bottom of the screen unless you wish to submit this information.
- If you are ready to submit your quote, click on the orange Save and Submit button and your quote will be sent through to the property management company. If you are not ready to send it, you can click on the green Save for later button and return to submit this later.
- Blockworx will create a PDF of your quotation which is available from this screen if you would like to download it.
- If you have uploaded a company logo onto Blockworx then this will appear in the top-right of the quote.

The Status of your quote will now appear as Submitted. The property management company will have received your quotation and will let you know if this has been accepted.
Submitting a Quote on the App
If you would like to submit your quote in response to the estimate request on the app instead of the web portal, follow the instructions below.
- In the list of your quote requests, tap to select the individual quote request you would like to submit a quote for.
- Depending on the type of device you are using, there will be a £ Quote icon either at the top or the bottom of the screen. Tap on this to begin to submit a quote.
This will take you to a screen where you can enter your quote details.
- At the top of this screen, there is an option to attach a note or image from your device to accompany your quote by clicking on the Attachments paperclip. You don't need to include this.
- Tap on the orange Add Item text to get started specifying the amounts for your quote.
This will open a Description area and provide you with fields to enter your Goods and VAT amounts.
- Enter a Description line for your quote.
- Next enter the Goods amount into the field below.
- When you tap into the VAT field, it will bring up the VAT percent options, tap on one to select it and Blockworx will calculate the correct VAT for the Goods amount you have entered.
- Blockworx will also update the total fields below.
These will change as you enter further line items.
You can tap on Add Item as many times as you wish. This will allow you to add as many items as are relevant for your purposes. You can add a Description and a corresponding Goods and a VAT amount for each item.
- Once you have all items added to your quote, if you wish, you can set your estimated duration for the work. Beneath your totals you can use the Days, Hours and Minutes fields to do this.
- If you are ready to submit your quote, tap on the orange Save and Submit button and your quote will be sent through to the property management company. If you are not ready to send it, you can tap on the Save for later button and return to submit this later.
The App will display a confirmation when your quote is submitted.
If you wish to check on the quote you have submitted at any point, you can return to a quote request and tap on the £ Quote button within a quote request to view it.
The status of your quote will now appear as Submitted. The property management company will have received your quotation and will let you know if this has been accepted.
Please note that you will have to set up a Blockworx Subscription to be able to receive quote requests and submit your quotations.
