Developments - Key Management

This article is part of the Developments section.
If you hold keys for a development, you can record this information on the system.

Users will need the Development - DevelopmentTab Keys permission to use this feature.
Adding a New Key
- Navigate to the Development tab.
- Use the filters to locate the development, highlight in the grid and double-click or click Amend to open.
- Select the Keys tab on the development.
- Click Add.

- On the New Keys screen. enter information about the key.

Development will be pre-selected and greyed out so you cannot change it.
- Click Save and Close.
- Click OK to dismiss the confirmation pop-up.
- The new key will appear in the top half of the Keys tab.

Checking a Key Out
The system allows you to record key movement to ensure you are always in control of where keys are and when they are due back.
The status of new keys will automatically be set to IN. This indicates the key is available to be checked out.
To check a key out:
- Highlight the key in the top grid.
- Click Movement.

- Most of the fields on the key movement screen will be pre-populated.

- You will need to select:
- Contact Type - who is checking out the key. The selection you make here will activate an additional dropdown where you can select a specific individual or contractor.
- Due Back Date - the date the keys are to be handed back.
- Telephone - a contact number for the person who has the key. If you do not set one, you will see a warning when you try to save.
- Reason - a description of why the key is being checked out.
- Click Save and Close.
- The status of the key will change to OUT in the top grid, and details of who has it and when it is due back will also be visible.

- The bottom Key Movement History grid will also show the key as checked out.


Use the Development Keys Overdue Report to track keys that have not been returned on time.
Checking a Key In
To check a key back in:
- Highlight the key in the top grid.
- Click Movement.

- Enter a Reason.
- Click Save and Close.
- The status of the key will revert to IN, and a second entry will show on the bottom Key Movement grid to reflect the key being checked back in.

Deleting a Key
To delete a key:
- Highlight the key in the top grid.
- Click Delete.

- A pop-up will ask for confirmation. Click Yes to proceed.
- A second pop-up will confirm the key has been deleted. Click OK to dismiss.
Managing Key Requests
To create and keep track of key requests:
- Select the Key Requests tab inside the main Keys tab.

- Click Create New Request.

- Select the Key from the dropdown, and enter the Date the key has been requested for and any relevant Notes.
- Click OK.
- Once the request is complete, click Complete to remove it from the grid.

Using the CPL Helper app for Key Management
Once you have added the keys held to the system, you can use the CPL Helper app for key management.
First you will need to create QR codes for your keys
- Follow the steps at the top of this article to add your keys to the development Keys tab.
- Navigate to Reports - Development Reports - Development Keys QR Report.
- Select a development from the dropdown to generate a QR code for each key saved on that development.
- Print the report by clicking the Print button in the bottom left corner.
- Attach the QR code to the physical key.
- You can then use the CPL Helper app to scan the QR code to record key movement.

You can download the CPL Helper app from the app store on your device. Contact Support for assistance with configuration and setup.
Once you have the app set up:
- Login using your username and password.
- On the homepage, tap Check Out to go to the Check Out Keys screen.
- Enter a Contact Type, Due Date and Checkout Reason.
- Tap Scan Key to open a QR code scanner.
- Scan the QR code attached to the physical key.
- Tap Check Out Scanned Keys.
Once your key is returned, you can tap Check In to scan the key back in.
