Proposed Works - Setting Up a New Proposed Works Fund

This article covers how to create a new Proposed Works Fund to collect monies from your clients. If you want to collect votes, see Proposed Works - Voting Only.

To set up a new Proposed Works Fund:
  1. Navigate to the Proposed Works tab.

  2. Click the Add button towards the bottom of the screen.
    1. You can also create a Proposed Work from inside a Development. To do this, open the Development, click the Proposed Works tab and click the Add button.


  1. This will bring up the Proposed Works window on the General tab.
    1. If you have created your Proposed Work from an Estimate, this screen will be pre-populated with details from the Estimate. See Estimates - Proposed Work Type for more information.



  2. Enter information about the work you are proposing.
    1. Name - choose an appropriate name for the Proposed Works. Please ensure you do not have a trailing space or special characters in this field.
    2. Development - this will be pre-populated if you created the Proposed Work from the Development tab.
    3. Area Code - only relevant if you have the Development Area Codes module.
    4. Job Type - select from a list of pre-defined Job Types.
    5. Description - enter a Description of the work.
    6. Cheque Payment Taken - choose when cheque payments will be processed.
      1. When Payment Details Received - cheque payments will be treated just like all other payments and hit the bank account at the point of payment
      2. When Works Are Approved - cheque payments will be taken when work is approved and a Job is created
    7. VAT Rate - select from a list of pre-defined VAT Rates. 
    8. Proposed Work Type - select Normal if you want to request funds from clients. For Voting Only, see Proposed Works - Voting Only.
    9. Balance is Recoverable - tick this box if you want to include outstanding Proposed Works funds in your Client Notices

  3. Once you have entered all the details, click on to the Proposed Works Share tab. 



  4. Click the Add New button.



  5. Enter details.
    1. Apportionment Name & Client Name - which apportionment or client the work affects
    2. Contractor Name - which contractor will be completing the work
    3. Amount - how much you have been quoted for the work
    4. Description - enter a brief description of the work

  6. Click Add New again to add further lines for different apportionments, clients or contractors.

  7. Click Save.



  8. A pop-up will ask you if you would like to set a Reminder. 

Once your Proposed Work is set up, you can move on to requesting funds from your clients.
