Invoicing (All) - Emailing Invoices
This article is part of the All section within Client Invoicing.
After processing
actual or
budgeted invoices/reconciliations or
amended accounts, use the
Email icon in the
Print/Email box to email them to clients. This shows the number of invoices queued for this method:
Clients who have opted in for paperless billing will receive their invoices via email as PDF attachments.
Emailing Actual Invoices and Amended Accounts
To email Actual Invoices:
- Go to the Process Owners Charges for Actual tab in Client Global and click the Email icon in the Print/Email Charges box:

This opens the Process Owner Charges Actual Email Details window:
- Check the box in front of a batch. Click Next:

- Double click an invoice to preview it, then close it.
- Click OK in the Email Invoice Prelist window:

- Click Add to include additional attachments, Remove to remove files or OK to proceed without adding files:

- Click Yes in the Send Email pop-up:

- A final pop-up confirms the number of emails sent. Click OK.
To email Amended Accounts:
- Go to the Amended Account tab, click the Email icon in the Print/Email Amended Accounts box, then follow the same steps as for actual invoices (described above):

Emailing Budget Invoices and Budget Reconciliations
To email Budget Invoices:
- Click the Email icon in the Print/Email Report box.
- This opens the Email Invoice Prelist window.
- A list of clients is displayed whose invoices are ready to be sent via email.
- To preview an individual invoice, double-click the relevant line, then close it.
- You can:
- Deselect any clients you don’t want to email at this stage.
- Leave all boxes ticked to send to all listed clients.
- Click OK to continue:

- Click Add to include additional attachments, Remove to remove files or OK to proceed without adding files:

- Click Yes in the Send Email pop-up:

- The final pop-ups confirm how many emails were sent and that the process is complete. Click OK.
Once emailed, invoices are automatically removed from the list. To refresh the view, close and reopen the Email Invoice Prelist window.
To email Budget Reconciliations:
- Follow the same process but select the Budget Recon radio button instead:

- Click on a row to highlight it.
- Right-click on the highlighted row and select Accept Email Batch to remove it from the list:
