Developments - Contacts

The Contacts tab on each development allows you to store contact information for different individuals or companies that you may need to contact in relation to that development.

Adding a New Contact

  1. Click Add to open the New Contacts for Development window.



  2. If the contact is one of the property owners, tick Is Client and select them from the dropdown.
    1. The only other option you will see when you tick this is Contact Type.


  1. If it is an external contact, enter a Contact Name, Address and Postcode.

  2. Email Address is optional.

  3. Select a Contact Type from the dropdown. The options available are set in System Parameters. See: System Parameters - Creating Contact Types

  4. Click Save and Close.

  5. A pop-up will ask if you want to add a telephone number. Click Yes to open the Development Contact Telephone window.

  6. Double-click into the Telephone field to enter a number, and repeat for the Description

  7. You must tick one number as Default.

  8. Click Save and Close.

  9. This will enter a new line on the Contacts tab.


Amending or Deleting a Contact

  1. To make changes to a contact, highlight the entry in the grid and click Amend.



  2. This will open the Amend Contact Name screen where you can edit all of the previously entered information.

  3. To delete a contact, highlight the entry in the grid and click Delete.



  4. A pop-up will ask you to confirm you want to delete the record. Click Yes to proceed.

  5. Contacts cannot be restored, so if you delete one in error you will need to add the details again.

Using Development Contacts

Once you have added a contact to a development, this will allow you to send communication to them via the Documents:Distribute screen.
  1. You can use the information stored on the Contacts tab when creating a mail merge template if you select the Dev Contact Details view. See: Mail Merge Fields for more information.

  2. Select Development Contacts as the Distribute Type when running a mail merge. This will allow you to select a specific Contact Type and send communication to all contacts of that type. You can also filter this by Development.
