If a client or development raises a dispute following an invoice run, you can record this on the system. The amount entered against a dispute will be ringfenced from the reminders process.

Individual Client Disputes

Disputes can be applied against a single client and linked against a specific charge on an invoice, or an amount.

Creating an individual Client Dispute for a specific charge

  1. Navigate to the Clients tab.

  2. Use the filters to locate the client account, highlight and double-click to open.

  3. Select the Charge Transaction tab.

  4. Find the charge the client is disputing and click to highlight it in the grid.

  5. Click Dispute in the bottom action panel.



  6. This will open the Credit Control Details screen.



  7. Enter a Review Date and a Narrative.

  8. The Amount of the charge will be pre-populated and cannot be amended. 

  9. Click Save and Close.

  10. The Status on the client account will change to Dispute.

  11. Select the Credit Control tab to see the Dispute entry in the grid.



Creating an individual Client Dispute for an amount

  1. Navigate to the Clients tab.

  2. Use the filters to locate the client account, highlight and double-click to open.

  3. Select the Credit Control tab.

  4. Click Change Status in the left action bar.



  5. Select a Dispute Credit Control Type from the Credit Control Status dropdown.

  6. Enter a Department, Review Date and a Narrative.
    1. Contact Support to configure the Departments available in the dropdown.

  7. Enter the Amount the client is disputing. 

  8. Click OK.

  9. The Status on the client account will change to Dispute.

  10. A new Dispute will be visible on the Credit Control Information grid.



Global Disputes

Disputes can also be applied globally, to an apportionment, block or entire development.

Creating a Global Dispute for a specific charge

To raise a Global Dispute linked to a specific charge:

Follow the same steps as for an individual dispute but tick Global Dispute on the Credit Control Details window.



When you click Save and Close, the status will change to Global Dispute for all clients linked to that charge.


Creating a Global Dispute for an amount

To raise a Global Dispute for an amount:

Follow the same steps as for an individual dispute but select a Global Dispute Credit Control Type.

You will then have the option to select a Batch Filter Level to apply the dispute against the development, block or apportionment. Further options will become available for you to select the specifics, depending on which option you choose.

If you select Apportionment, you can set a fixed amount against each client or set a global amount and split it against the apportionment shares.

You can also apply disputes in bulk with the Credit Control Status Batch Update tool.
