Importing Diarised Charges

This guide walks you through using the Diarised Charges Import tool in CPL to upload files and record diarised charges for specific developments and clients.
- Go to the Tools menu.
- Select Data Import from the drop-down, then choose Diarised Charges.
This will open the Diarised Charges Import Wizard on the Data File Import screen.
Importing Your Data File
Here you'll find import templates that you've requested and for which CPL has configured the Data Definitions File. This file helps map the data correctly.
CPL will give you a sample .CSV file to assist you before you start importing diarised charges.
To upload your file:
- Highlight the appropriate import template.
- Click the folder icon at the bottom right to browse for your CSV file:
Make sure the file is closed before uploading, as open files cause import errors.
- Select the file and click Open to start the upload. A progress bar will appear and a pop-up will confirm successful import. Click OK.
- When the progress bar shows 100%, it will display the number of processed payments. Click Show Details for more information:
- If you see "0 rows were not understood", it means all rows were processed successfully. Otherwise, issues will appear in red and need resolving before you proceed. Click Next:
Validating Your Data
On the Validation screen, review and resolve any data issues.
Each diarised charge appears in the grid at the top, displaying one of the following icons:
- A green tick indicates that the charge can be imported:
- A red stop sign shows that there are missing details, preventing import:
- A document with an arrow indicates it has been imported before:
Only the rows marked with a green tick can be imported. Check the box in front of each row you wish to import.
To view details for a specific row, click on it to display its information in the Posting Details section. Here you can change the client or the apportionment if needed:
You can proceed with just some selected rows and later re-upload the file to address any remaining diarised charges.
- Once you are ready, click Next.
If you upload the same file again later, the system will display the document icon with an arrow in front of the rows that have already been imported.
Diarised Charge Posting Screen
This screen displays the charges selected in the Validation step. Review the list and ensure everything looks correct.
If changes are needed, click Back to return to the Validation screen.
- When you’re ready, click Post to complete this step and post the charges into the system.
- The progress bar will reach 75%. Click Next to continue.
Summary Screen
A Processing Report message will appear, followed by the Data Import Diarised Charges Report. This lists the posted diarised charges and the batch number.
You can save or print this report using the icons at the top.
- This is the final step of the import process. Click Finish to complete it.
The imported charges will now appear on the Diarised Charges tab of the respective developments or clients.
