Overview


Client Notices are a workflow to chase up debt.  Client Notices can be set up with as many stages as required but a typical model has 3 different stages:
  1. First Notice (1st Reminder)
  2. Final Notice (2nd Reminder)
  3. Debt Recovery

Client Credit Control Statuses are separate to Client Notices and not linked in any way to the Client Notices flow.  Resolving a Credit Control Status does not influence the Client Notices workflow.

To find the Client Notices screen:
  1. Navigate to the Clients tab
  2. Click the Client Notices button in the bottom action bar



Prerequisites 

Before you can send out Client Notices, there is some configuration that is required. 
  1. Reminder Stages - You can have as many stages as you like. We will need to know what each stage should be called, and whether it will be a Reminder stage (produces a reminder letter) or a Debt Recovery stage (produces a report to send to your solicitor).
  1. Grace Days - You can decide how many days there should be between each stage of the Client Notices process. We will need to know how many days after an invoice is sent you want your first stage to start, and how many days after that the next stage should be run etc. This is important, as your prelist will only pick up clients for the next stage once the grace period has expired.
  1. Late Payment Fees - These can be added to any Reminder stage, and are typically applied at Stage 2. We will need to know how much you would like to charge at each stage (inc. VAT) and whether you would like your fees to post straight to the Transaction File, or to the Charge File to be picked up on the next invoice run.

  2. Document Templates - If you are using Mail Merge to send out your Client Notices, you will need to create your letter templates before you process any reminders. 

  3. Report Templates - If you would like to use Custom Reports in your Client Notices process (instead of Mail Merge templates) we will need to set up these templates for you. Please contact CPL Support to discuss your requirements and receive a quote.

  4. Email Properties - If you are intending to send out Client Notices by email, please ensure you have amended your Client Notices Email Properties before you send out your first batch. For more information on Email Properties, see this article.
